Choosing an automation platform is the first decision in any small business automation project, and the wrong choice gets expensive later. A tool that is easy for three simple workflows can become costly at a few thousand tasks a month, and a powerful tool can be too much for a team that just wants new leads in a spreadsheet.

What is the difference between n8n, Zapier and Make?
All three tools connect apps and run steps automatically when something happens, such as a new form submission, a payment or an email. The difference is in who they are built for:
- Zapier is built for non-technical users. You pick a trigger and an action from thousands of app integrations and it just works. Pricing is based on tasks, one task per successful action step.
- Make (formerly Integromat) uses a visual canvas where you drag modules and connect them, with branches, filters and loops. Pricing is based on credits, roughly one per module action.
- n8n is a workflow automation tool for more technical teams. It supports code steps, AI agent nodes and complex logic, and it can be self-hosted. Cloud pricing is based on workflow executions, no matter how many steps each run has.

Which is cheapest for a small business?
For light use, all three are affordable. The gap opens as volume grows, because the platforms count usage differently. A five-step workflow that runs 1,000 times a month uses about 5,000 Zapier tasks, about 5,000 Make credits, but only 1,000 n8n executions. That is why Zapier is often the most expensive at scale and self-hosted n8n the cheapest: you pay only for the server.
Self-hosting is not free in effort, though. Someone has to set up the server, apply updates, back it up and monitor it. Which is easiest to use?
Zapier wins on ease of use. Most office teams can build a simple Zap in under an hour. Make takes a little longer to learn but shows the whole workflow as a diagram, which helps when something breaks. n8n is the most flexible but expects some technical comfort, especially for code steps, webhooks and self-hosting. If your team will maintain the workflows themselves, choose the tool they can actually read.

- Choose n8n if you run thousands of tasks a month, want AI agents, need custom code, or must keep data in-house for GDPR, PIPEDA or client contracts.
Many businesses end up using two: Zapier for a few quick personal automations and n8n or Make for the core business workflows. That is fine, as long as each workflow is documented and monitored.
Can you switch platforms later?
Yes, but workflows do not transfer automatically; each one has to be rebuilt. That is why it pays to choose based on where your business will be in a year, not just today. If you expect volume to grow or AI to play a bigger role, starting on Make or n8n avoids a migration later.
