Track leads with GA4 and CRM

Quick answer

To track leads properly: set up GA4 key events for form submissions, calls, bookings and chats (usually through Google Tag Manager); tag campaign links with UTM parameters; use call tracking if phone leads matter; pass the source, page and campaign into your CRM with each lead; and mark leads as won or lost so you can see revenue by source, not just form fills.

Most small business websites track page views but not leads, or they count every form submission, including spam, as a conversion. Without accurate tracking, you cannot tell which pages, ads or campaigns are worth the money.

Here is the setup we use so every lead can be traced from first click to closed job.

End-to-end lead tracking

1SourceUTMs, Google Ads, organic, referrals
2WebsitePages viewed, actions taken
3Key eventForm, call, booking, chat
4CRMLead stored with source and page
5RevenueWon jobs tied back to the source

1. Define what counts as a lead

List every way a visitor can become a lead: quote form, contact form, phone call, booking, chat, WhatsApp or email click. Decide which are “key events” (GA4’s term for important conversions) and which are micro-actions such as viewing pricing.

2. Track form submissions accurately

Fire the event on a successful submission, ideally when the thank-you page loads or the form confirms success, not when the button is clicked. That avoids counting failed or abandoned attempts. Google Tag Manager makes this easier to manage.

3. Track calls and messages

Track clicks on phone and WhatsApp links as events. For businesses where many leads call, dynamic call tracking numbers can attribute calls to the source that brought the visitor.

4. Tag your campaigns

Add UTM parameters (source, medium, campaign) to links in emails, social posts and non-Google ads, so GA4 and your CRM know where each visitor came from. Google Ads can use auto-tagging.

5. Send source data to your CRM

Capture the landing page, referrer and UTM values in hidden form fields and store them with the lead. Then, when a job is won or lost, you can see which channels produce revenue, not just enquiries. If you are choosing a CRM, our CRM comparison may help.

6. Import outcomes back to ad platforms

Advanced setups send qualified or won leads back to Google Ads as offline conversions, so bidding optimises for real customers instead of any form fill.

7. Check it works, then report

  • Test each event with GA4 DebugView and Tag Assistant.
  • Filter spam so it does not inflate conversions.
  • Build a simple monthly report: leads, cost per lead and revenue by source.

With tracking in place, you can find where leads are lost and run meaningful tests. Our conversion rate optimization service sets up and checks the full tracking chain for you.

Frequently asked questions

What are key events in GA4?

Key events are the actions you mark as most important, such as form submissions, calls or bookings. They replaced the term conversions in GA4 reports.

How do I track form submissions in GA4?

Fire an event when the form submits successfully, for example when the thank-you page loads, usually through Google Tag Manager, and mark it as a key event.

What are UTM parameters?

Tags added to links (source, medium, campaign) so analytics and your CRM know which campaign brought a visitor.

How do I connect website leads to revenue?

Store the source, landing page and campaign with each lead in your CRM, record when jobs are won, and report revenue by source.
